Converting Bible Fact-Pak Text to a Table in Microsoft Word
The steps below may seem rather cumbersome at first, but after you do this once or twice, you’ll see just how quick and easy it is!
- In the Bible Fact-Pak CD-ROM program, create a new Study Guide by clicking on the "New" button. Give your document a title and click OK.
- Select “Study Guide” under “Type of Printout.”
- Choose your Formatting Options: Font, Size, etc. The number of columns you choose doesn't matter, since you'll be converting this in the Word document. However, it will be less confusing if you select only 1 column at this time.
- Under “Question Components,” select “Question Interrupt,” “Question Non-Interrupt,“ “Answer,“ and either “Quotation KJV“ or “Quotation NIV.“ (Instructions for including both KJV and NIV are in Section D, below.)
- You can choose to either have the “Fact-Pak Number” checked or not. Since the number is shown as part of the question, it won't affect the columns.
- UNCHECK “Scripture Reference.” Since not all the answers have a Scripture reference, it will affect the columns if you have this checked. (Instructions on including the Scripture reference are given in Section C, below.) Whether you check "Include Title in Printout" or not won't matter.
- Choose the “Question Selection” or “Custom Group” that you want in the document.
- Hit Ctrl+S to send the text to Word.
Every time you perform a “Replace” operation, as described below, make sure your cursor is at the beginning of the document.
- In the Word document, you first must remove all the extra paragraph marks that create a space between each question. You don't have to do this manually. Instead you can use the "Replace" feature. Hit Ctrl+H. In the "Replace" window that comes up, click on the "More" button.
- When the window expands, click on the "Special" button. Select "Paragraph Mark." Repeat this step. (Go to "Special" and select "Paragraph Mark" a second time.) This gives you two paragraph marks in the "Find What" field. (A paragraph mark looks like this: ^p.) Make sure you didn't add any spaces between the two paragraph marks. When you are through, the field should look like this: ^p^p
- Click in the "Replace with" field. Once again, go to "Special" and select "Paragraph Mark." This puts one paragraph mark in the "Replace with" field (^p).
- Click on the "Replace All" button. This will remove all the extra spaces between questions so that each new question immediately follows the previous question with no extra space between them. When this is done, close the “Replace” window.
- Now select all the text in the document. (In most versions of Word you can do this by hitting Ctrl+A. Otherwise you'll have to go to Edit > Select All.)
- In the menu at the top of the window, go to Table > Convert > Text to Table. (If "Text to Table" is in gray instead of black and therefore will not let you do this, it's usually because there is an extra line of no text at the very bottom of the document. Go back to the document and remove this line.)
- When the "Convert Text to Table" window comes up, under "Number of columns," enter 2. Under "AutoFit behavior" select "AutoFit to contents." Under "Separate Text at" select "Paragraphs." Hit OK.
- Now you should have a table with the questions on the left and the answers on the right. Don't forget to save your document!
- When setting up your Question Components, select Scripture Reference. (Remember, we are still working with only one version of the answer, either NIV or KJV. Do not include both options at this point. For instructions on including both versions and the Scripture reference, see Section E, below.)
- After sending the text to Word, follow the steps in Section B to remove the extra paragraph marks (Section B, steps 1-4).
- Now you will have to go through the entire document and MANUALLY ADD A PARAGRAPH RETURN for every answer that DOES NOT have a Scripture reference. This includes Quotation Questions, which show the reference as part of the answer instead of placing them in a separate line after the answer. Every answer that DOES have a Scripture reference after it should NOT be given that extra paragraph return. (That's why you removed them.)
- ALTERNATE METHOD: If your document is mostly 30-point questions, which are mostly Quotation Questions, you may want to skip the step of removing all the paragraph returns, otherwise you're just replacing all the returns you just eliminated. Instead, follow these steps:
• |
After sending the text to Word, do not remove all extra paragraph returns. |
• |
Remove only the paragraph returns that follow Scripture references. Go to the “Replace” window (Ctrl+H). In the “Find what” field, enter a closing parenthesis and a paragraph mark: )^p |
• |
In the “Replace with” field, enter a closing parenthesis: ) |
• |
Click on “Replace all.” When complete, close the “Replace” window. |
- Select all the text (Ctrl+A), then go to Table > Convert > Text to Table. In the “Number of columns” field, enter 3. Select “AutoFit to contents” and “Separate text at Paragraphs.” Click OK.
- In your new table, you will see that all the questions that do not have Scripture references have a blank field in the third column.
- This is similar to the process for adding Scripture references. When setting up your Question Components, select both “Quotation KJV” and “Quotation NIV.” For the time being DO NOT select Scripture Reference.
- Remove all the extra paragraph returns. (Ctrl+H > More > Special > Paragraph Mark, as in Section B, steps 1-4, above.)
- Manually replace paragraph returns after questions that have only one answer. Here again, depending on whether you have chosen 10-pointers, 20-pointers, or 30-pointers, you may want to skip the removal of paragraph returns and just take them away from the questions that have both NIV and KJV. Just decide which would be less work depending on whether you have more Quotation Questions than non-Quotation Questions or vice versa.
- Select all (Ctrl+A), then go to Table > Convert > Text to Table. Create 3 columns, select “AutoFit to contents,” and “Separate text at Paragraphs.”
- Your document will now show the question in the left column, the NIV answer in the center column, and the KJV answer in the right column. All questions that have only one answer will show the answer in the center column.
This becomes much more tedious since you have to remove paragraph returns in some areas and manually add paragraph returns in other areas. Depending on the number of questions in your document, doing this may be more trouble than it’s worth!
- In the Bible Fact-Pak program window, select “Quotation KJV,” “Quotation NIV,” and “Scripture Reference.” Make sure all the other parameters are set the way you want them. (Such as, “Question Range” vs. “Group Selection,” as well as all Formatting Options.)
- Hit Ctrl+S to send the text to Word.
- DO NOT REMOVE ALL THE PARAGRAPH RETURNS. Instead, you will remove only certain ones. First, remove all the paragraph returns between the NIV and KJV answers. Open the “Replace” window (Ctrl+H). In the “Find what” field, enter one paragraph mark and (KJV). The field will look like this: ^p(KJV). In the “Replace with” field, enter (KJV). Click on the “Replace all” button.
- Next, remove all the paragraph returns that come after Scripture references.
• |
In the “Replace” window, in the “Find what” field, enter a closing parenthesis: ) |
• |
Add a paragraph mark. The “Find what” field should look like this: )^p |
• |
In the “Replace with” field, enter a closing parenthesis. |
• |
Click the “Replace all” button. When complete, close the “Replace” window. |
- Since you will be creating 4 columns (Question, Answer NIV, Answer KJV, and Scripture Reference), you now need to ADD a paragraph return to all questions that have less than 4 parts.
• |
To every question with only one answer and no reference, add one paragraph return. This will give these questions a total of two paragraph returns, counting the one that is already there. |
• |
To every question with only one answer and a Scripture reference, add one paragraph return BEFORE the Scripture reference. |
• |
All Quotation Questions do not need any addition or subtraction of paragraph returns. They should already have one paragraph return after them. This will create a blank field in the Scripture reference column after you create the columns. |
• |
Any questions that have two answers (NIV and KJV) AND a Scripture reference should have NO paragraph returns after any part. |
- Select all the text (Ctrl+A). Go to Table > Convert > Convert Text to Table. In the “Number of columns” field, enter 4. Select “AutoFit to contents” and “Separate text at Paragraphs.” Click OK.
- You will now have a document that shows the questions in 4 columns: the question, the NIV answer (or the generic answer), the KJV answer, and the Scripture reference. Any questions that did not have all four parts will show a blank field in that space.
